Schedule

The “Schedule” menu is your task scheduler in DaoDesk, with which you can automatically (at a specified interval) create requests and generate reports, and then send links to them to the specified e-mail addresses. 

Creating scheduled requests will be extremely useful when you need to create recurring requests (typical tasks) every day, week or month - instead of doing it manually every time, you just need to specify the request template once, and then it will be automatically created at the specified time.  

The tool will be equally useful for reporting: for example, every Friday or every N day of the month managers hold a meeting on the results of the support service, where they also study the reporting on the system. In order not to generate a template manually every time, just make it automatically generated at the specified time, and the link to the report will be sent to the e-mail of all the specified recipients!

 

To create a task by schedule, go to the “Schedule” menu and click “Add task”:

 

Then specify its name, activity (enable or disable the task) and its type: task by request or by report.

 

1) Task type: request

A task with this type will allow you to automatically create a request according to the template in the specified status and interval:

  1. In the search bar, you will be prompted to enter the name (subject) or unique ID of the requisition that will act as a template. For example, you have previously created a request with scheduled works - these are regular tasks of the same type that should be performed every week. The ID or name of this request should be specified in the search, and it will be taken as a template: the content of its first (initial) response, name, department, executor, etc. will be duplicated in the scheduled requests.  
  2. Next, specify the status of the request in which it will be created.
  3. The last setting is responsible for the interval of request creation: you can also specify a specific day, date and time:

 

In the general list near such tickets there will be a separate icon in the form of a calendar - it means that the request was created according to the schedule. The request can be created with a delay of up to 1-5 minutes!

 

2) Task type: report

A task with this type will allow you to automatically generate a report according to a template, and then automatically send it to the specified email addresses at a specified time or interval.

  1. First, in the settings, specify the type of report you want to use, and below from the list select one of the previously requested reports that will act as a template.  
  2. In the “Report Interval” item, specify the time frame - for what period of time you are interested in the data in the report.
  3. To specify the recipients of the report by e-mail, enter the list of e-mail addresses separated by commas.
  4. Specify the interval for generating and sending the report to mail: you can also specify a specific day, date and time. The link to the report will be sent to the mail after its processing (generation) is completed:

 

The outgoing mail specified in the “Global Settings” menu is used to send e-mails. If the field is left blank, the report will still be requested!
